HeyPond is operated by Regulus Framework Limited, registered in England and Wales under company number 16998528. Throughout this policy, “HeyPond”, “we”, “our”, and “us” refer to Regulus Framework Limited.

We collect information you provide directly to us, information created as you use the service, and limited technical information needed to operate, secure, and improve HeyPond.

• Account and profile information, such as your name, email address, password, business details, branding preferences, and billing plan details.
• Client-management data you choose to store in HeyPond, such as contact details, notes, bookings, session packages, forms, invoices, contracts, and communications.
• Payment and subscription records needed to process billing and maintain your subscription status.
• Technical and usage information, such as IP address, browser type, device data, approximate location derived from request metadata, and activity logs needed for security, diagnostics, and product improvement.

We use personal data to provide the service, secure accounts, process payments, deliver support, communicate with users, and improve the product.

We may also use information to investigate abuse, enforce our terms, comply with legal obligations, and analyze product performance in aggregated or account-level form.

If you connect a Google account, HeyPond requests access only for features you choose to enable, such as calendar sync, booking write-back, Gmail sending, inbox access, or related account setup.

Google user data is used only to provide and maintain the features you have requested inside HeyPond. We do not sell Google user data, and we do not use Google Workspace API data to train generalized artificial intelligence or machine learning models.

When applicable, connected Google data may include profile information, email address, calendar metadata and events, Gmail sending capability, Gmail message data needed for enabled inbox features, and Gmail settings data needed to confirm sending configuration.

• Calendar data is used to show connected calendars, block real availability, sync bookings, and write HeyPond-created events back to the selected calendar.
• Gmail send access is used to send email from your connected Google account when you choose Google-powered sending.
• Gmail read or settings access is used only for enabled inbox or send-configuration features, such as confirming mailbox readiness, reading permitted message data, or supporting workflow automation you explicitly enable.
• You can disconnect your Google account from within HeyPond settings, which stops future access except where temporary retention is required for security, billing, dispute handling, or legal compliance.

We share data only when needed to run HeyPond, comply with law, protect rights and safety, or complete transactions you request. This can include infrastructure providers, payment processors, email providers, analytics and logging providers, and other subprocessors acting on our behalf.

We may also disclose information in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality and data-protection safeguards.

We keep personal data for as long as necessary to provide the service, maintain business records, resolve disputes, enforce agreements, and comply with legal obligations.

Retention periods vary depending on the type of data, the features you use, and whether the information is needed for security, fraud prevention, accounting, or legal compliance.

Depending on where you are located, you may have rights to access, correct, export, delete, or restrict certain personal data. You can also update many account details directly inside the product.

We use reasonable technical and organizational measures to protect information, but no method of transmission or storage is completely secure.

HeyPond may process data in countries other than the one where you live. Where required, we use appropriate safeguards for international transfers.

We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and update the effective date above.

If a change materially affects how we handle personal data, we may also provide additional notice through the product or by email.
